Job Summary
The Administrative Associate is responsible for performing essential administrative and clerical support duties within an assigned business unit (e.g., region, district, department, or plant). This role ensures the accuracy and efficiency of daily operations through effective organization, communication, and meticulous attention to detail.
Essential Job Functions & Tasks
Under immediate supervision and following well-defined procedures, major responsibilities include:

  • Financial and Records Management:
    • Create and process work orders and invoices.
    • Reconcile work orders and maintain accurate records.
    • Maintain SOX control activities to ensure compliance.
  • Documentation and System Support:
    • Prepare and manage documents, reports, spreadsheets, and presentations.
    • Maintain organized filing systems, calendars, and records as needed.
    • Utilize Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and other department-specific software/systems.
  • Communication and Customer Focus:
    • Communicate effectively with co-workers, other employees, and customers, including communicating with customers to address inquiries.
    • Answer customer questions, referring complex issues to others as appropriate.
    • Actively work to understand department functions to improve customer service.
  • Teamwork and Initiative:
    • Work effectively and productively in a team environment, assisting with assignments as necessary.
    • Apply problem-solving skills, ask questions when unsure, and demonstrate the initiative to handle assignments beyond the routine.

Basic Qualifications
  • Education: High school diploma or GED required.
  • Work Experience: Minimum of one (1) year of administrative or office support experience.
  • Skills:
    • Demonstrated computer proficiency in Microsoft Office Products.
    • Must possess the ability to organize data and processes.
    • Excellent written and verbal communication abilities.
    • Displays good analytical and problem-solving skills.

Work Schedule
  • Schedule: Monday through Friday, 7:30 a.m. - 4:30 p.m.
  • Note: Occasional overtime or weekend work may be required.
