Senior Executive Assistant for LewisGale Hospital Montgomery

Job Summary And Qualifications

Specific elements and essential functions:

  1. Manages the coordination and communications for meetings and appointments. Accurately types hospital and departmental policies and procedures, letters, PI reports, regulatory standards, and meeting minutes. Compiles graphs, flow charts, agendas, and various other documents as needed.
  2. Maintains database and file system for Risk Management Notification System. Confidential matters are managed appropriately.
  3. Manages the Policy & Procedure website with the collaboration of the Quality and Education Directors/Managers.
  4. Supports the Focused Professional Practice and Ongoing Professional Practice Review process as a primary management of the Crimson Report System.
  5. Supports the Magnet Designation program through the development and maintenance of National Database for Nursing Quality Improvement reports and nursing dashboards.
  6. Provides monthly and/or quarterly reports of statistical data and distributes to committees and departments as necessary.
  7. Provides administrative/clerical support to Quality Management/Risk Management and Infection Control Nurse.
  8. Communicates effectively and professionally with internal and external customers.
  9. Provide support and assistance to senior management, including but not limited to arranging appointments, screening calls and mail, project assistance and management.
  10. Present a friendly, professional and helpful atmosphere to physicians, employees, patients, their families and visitors who come to the Administration Office.
  11. KRONOS access for facility-wide and input for assigned departments/directors
  12. Physician Dictionary Maintain and update the undefined physicians including National Provider Identifier Compliance Run Licensure Report and update Meditech to reflect the updated license expiration date Run sanction check on all physicians against the OIG/GSA lists monthly
  13. Ethics and Compliance Assign updated policies to the director that it pertains to in Healthstream Update the Ethics and Compliance binder with the new policies along with any other updates included in the packet of information.
  14. Orders departmental office supplies and maintains all equipment.
  15. Organizes and prioritizes work to complete duties effectively and efficiently as assigned by the Director of Quality.
  16. Other duties as assigned.

Experience Required: at least two years clerical/administrative experience with one year in healthcare related field. Education Preferred: Associate Degree- Arts or Science with demonstrated proficiency in Microsoft Office Suite. Required: HS diploma
