Position Overview

We are seeking a highly organized and detail-driven Document Control Specialist to join our Contracts team. In this role, you will be responsible for managing, organizing, and maintaining contract documentation throughout the lifecycle of our projects. You will work closely with Contracts Administrators, Sales, Project Management, and Legal to ensure that all contract-related documents are properly recorded, controlled, and accessible.

This is a critical support role that ensures accuracy, compliance, and timely handling of customer contracts, amendments, and associated records.


Key Responsibilities

  • Maintain and organize all customer contract documentation, including contracts, amendments, correspondence, purchase orders, and certificates.
  • Ensure proper version control, tracking, and archiving of all contractual documents using the company's document management systems.
  • Support Contracts Administrators by preparing document packages, compiling required forms, and ensuring document completeness and compliance before submissions.
  • Track contract execution status and follow up on outstanding documents and approvals.
  • Coordinate document transmittals to customers, internal stakeholders, and external parties as required.
  • Assist in contract review processes by maintaining accurate logs, summaries, and checklists.
  • Collaborate with Legal and Project Management teams to ensure contractual obligations are captured and documented correctly.
  • Support audits, reviews, and reporting by providing accurate and up-to-date contract documentation as needed.
  • Maintain confidentiality and ensure secure handling of sensitive contract information.
  • Recommend improvements to document control processes to enhance accuracy and efficiency.


Qualifications

  • Associate's Degree in Business Administration, Paralegal Studies, or a related field preferred.
  • 2+ years of experience in document control, contracts administration, legal support, or a similar role.
  • Strong attention to detail and excellent organizational skills.
  • Familiarity with contract management systems, SharePoint, or similar platforms.
  • Proficiency in Microsoft Office Suite (especially Word, Excel, and Outlook).
  • Ability to manage multiple priorities, work independently, and meet deadlines.
  • Strong interpersonal and communication skills for working across departments.
  • Experience with contract lifecycle management (CLM) processes is a plus.
  • Knowledge of commercial contract terms and standard documentation practices preferred.
